Information we handle
Aqua Backflow, Inc. processes information to provide TrackMyUtilities. Depending on the features used, this includes account and contact details; organization memberships; qualifications and supporting documents; site, device, inspection, test and filing records; uploaded files and signatures; billing and authorization records; support requests; and technical information about service use. Information comes from you, your organization, participating utilities, authorized service providers or property representatives, and sources used for address and other service data.
How information is used
We use information to manage accounts and permissions, process submissions, maintain compliance records, send notices, collect authorized payments, respond to requests, protect the service, and diagnose and improve its operation. Location-enabled features may use location you permit your device to share. Browser or device settings control that access.
Payments
Stripe collects and stores card information and processes payments. Our application keeps Stripe identifiers, limited card details such as brand, last four digits and expiration, and payment and authorization records. Our application database does not store full card numbers or security codes. Company administrators can manage their company’s saved cards and billing. Removing a card does not erase historical invoices or necessary authorization evidence.
Who receives information
Authorized organization users, relevant utilities and property representatives, and our staff access records according to their roles and the applicable workflow. Organizations receiving records may have their own legal duties, privacy policies and retention requirements. We also use providers for hosting, authentication, database and file storage, payments, email and postal delivery, mapping, analytics, diagnostics, and enabled AI features. These include Supabase, Vercel, Stripe, Resend, Lob, Google Maps/Places, Sentry, and configured AI model providers. Providers receive information needed for the feature involved. AI prompts and relevant context may be sent to the configured model provider when those features are used. Information may also be disclosed as required by law or to address fraud, security incidents, and legal claims.
Browser storage and diagnostics
Browser storage and related technologies support sign-in, preferences, drafts and operational features. Analytics and diagnostic tools collect usage and error information; error diagnostics can include session activity recordings. You can clear or restrict browser storage, which may affect sign-in or saved drafts. Browser privacy controls do not remove information already submitted to the service. Contact us about diagnostic collection or an applicable privacy preference.
Retention
Retention depends on the purpose and type of record, the applicable utility or organization’s requirements, and legal obligations. Account and operational records are retained as needed to provide the service; billing and authorization evidence may remain necessary for accounting, disputes, and legal obligations after account closure or withdrawal. Removing a saved card or closing an account does not automatically delete those records. Contact us about a particular record’s retention or deletion.
Your requests
Contact info@aquabackflow.com to request access, a copy, correction, or deletion of personal information, or to exercise other privacy rights available under applicable law. Depending on your location and our role, those rights may include restrictions on certain uses or disclosures and an appeal of a decision. We may need to verify identity and authority, including for an authorized agent. For records handled on behalf of a utility or another organization, we may refer the request to that organization. Legal and recordkeeping exceptions may limit deletion. If you disagree with our response, reply asking for review. We do not penalize you for exercising rights provided by law.
